Unless we confirm otherwise in writing, our events are not exclusive to you or your group. We will always try to keep groups separate where possible, but this cannot be guaranteed.
Some activities have minimum age requirements. Certain activities require participants to be at least 12 years old. Motorised activities require participants to be at least 16 years old, and paintball has a minimum age of 11 years old.
Please contact us before your event day if anyone in your group has a medical condition, physical condition, mental health condition, disability, or any other requirement that may affect their ability to take part safely. Some activities may also have height or weight restrictions, so please contact us in advance if you think anyone in your group may be affected.
Please dress appropriately for the weather and for the activities you have booked. We provide the necessary safety equipment for our events, but we do not provide waterproof clothing or similar garments. Suitable shoes or trainers must be worn. Flip-flops and sandals are not permitted.
We reserve the right to refuse participation to anyone we believe is not fit to take part safely. We also reserve the right to remove anyone from an activity if we believe their behaviour is inappropriate or unsafe.
We operate a strict zero-tolerance policy regarding alcohol and drugs. Anyone under the influence of alcohol or drugs will not be allowed to take part. If we believe their behaviour puts other customers, staff, or suppliers at risk, they will be asked to leave the venue immediately.
If you are taking part in paintball, you may need to purchase additional paintballs or smoke grenades on the day.
A map and directions will be provided. If you are unsure how to find us, please contact us before your event day.
Please allow plenty of time to arrive. We include a reasonable amount of flexibility within your arrival time, but if you are late, we cannot guarantee that you will be able to take part. If you arrive after your activity start time, you may not be able to participate.
We reserve the right to cancel an event or change the activities provided if we believe it is unsafe to proceed due to adverse weather conditions, operational issues, or any other reason beyond our control.
We operate a 28-day group amendment and cancellation policy. Please ensure any changes are made within this period, as it may not be possible to amend bookings after this time. Administration charges may still apply.
Once your non-refundable deposit has been paid, you will receive a confirmation email. This will include the details of your booking, the amount paid, the remaining balance, and the dates on which future payments are due.
Bookings made 5 weeks or less before arrival must be paid in full at the time of booking.
Once full payment has been received, we will email your full weekend itinerary. Please check all details carefully and contact us immediately if anything is incorrect or if you have any questions.
Any changes made within 5 weeks of travel may be subject to an administration or cancellation charge. In some cases, this may be the full cost of the booking.
Any errors or inaccuracies in your booking documents must be reported to us within 7 days of receipt. After this period, Max Events will not be responsible for any inaccuracies that were not raised.
If payments are not received by the due dates, Max Events reserves the right to cancel the booking. Any payments already made may be lost.
Changes to bookings may be subject to a £20 administration charge once the 50% balance payment has been made.
Any changes that reduce the group size after the 50% payment has been made may be subject to a £20 per person administration charge.
All booking changes must be made directly through Max Events.
If your group numbers fall below a supplier’s minimum requirement, or if your amendment removes a full night’s accommodation, this may be treated as a cancellation in line with the supplier’s terms and conditions.
Max Events reserves the right to make changes to your booking where necessary due to circumstances beyond our control.
Many hotels require a behavioural bond on arrival. This is usually paid by credit card and held until checkout.
You will be responsible for any damage caused to accommodation, venues, equipment, or any other property belonging to our suppliers.
You are responsible for your own personal belongings at all times. Max Events accepts no responsibility for loss, theft, or damage to personal property.
Where tented accommodation is provided, we will hold a bond of £500 per tent against any damage caused to the accommodation or venue. If the cost of damage exceeds this amount, the group leader will be responsible for paying the additional amount.
All cancellations must be made in writing as soon as possible.
Cancellation charges apply as follows:
0–30 days before the event:
No cancellation is possible and no refund will be given.
More than 30 days before the event:
The deposit will be retained and no refund of the deposit will be given.
